Short-Term International Visit Requests

 Short-Term International Visit Request Procedures

In an effort to improve efficiencies, the Office of International Affairs has evaluated the process related to short-term visit requests from foreign parties to meet with our faculty, staff and administrators.  Typically, these requests involve meetings with administrative, academic, and research leadership for the purpose of learning about our programs, governance, and organization, and to explore possible collaborations.  Such visitors are usually on campus from a few hours to a couple of days.  UC San Diego receives more short-term visit requests than the campus can reasonably support or approve.  In an effort to ensure that the requested visit is in the best interest of our campus, International Affairs has streamlined the process for vetting requests for meetings from representatives of foreign universities, institutions and businesses.

The new process requires that prospective short-term international visitors complete an online form that describes the details of the proposed visit.  IA will use the form, in consultation with campus leadership, to help determine whether UC San Diego should dedicate resources to support the requested visit.

 

When to Refer a Prospective Short-Term International Visitor to IA’s Website:

  • The requested visit involves UC San Diego’s Chancellor, SVCAA, VCs and/or AVCs.

  • The requested visit involves divisions, units, or schools outside of your specific leadership area.

 

When Not to Refer a Prospective Short-Term International Visitor to IA’s Website

  • The requested visit is entirely within your division, unit, or school.

  • If you are in favor of a requested visit, please make all meeting arrangements without involving International Affairs.

  • If you decide not to accommodate a requested visit, please respond directly denying the request.  Contact Nate Burke (nwburke@ucsd.edu) if you would like sample wording for a diplomatic denial letter.

  • Visiting students and scholars, and staff/faculty from abroad who are hired to work at UCSD, are not            considered for the purpose of these procedures to be short-term international visitors.

Services for Short-Term International Visitors

International Affairs offers the following services to the general campus for approved short-term international visit requests involving multiple units, schools or divisions at UC San Diego:

  • Match international visitors’ interests with faculty and staff experts.

  • Initiate inquiries with appropriate faculty or staff on behalf of international visitors.

  • Provide international visitors with relevant information and resources.
